WSH School Administrators and Divisional Representatives Professional Development Sessions:
The Hanover School Division will provide WSH Committee members and Workplace Representatives with a minimum of two days of training related to workplace safety and health. PD sessions are held at the HSD Conference Centre (9:00 AM – 3:45 PM). In the event that a second session is not hosted by the division, then each representative will have the opportunity to attend a WSH PD session of their choice that are provided by the Manitoba Teachers Society, the Workers Compensation Board of Manitoba, SafeWork Manitoba, or the Manitoba Construction Association, or an accredited institution. Sub costs for PD sessions are covered by the division. The Assistant Superintendent will approve written requests for workplace safety and health training from committee members or workplace representatives.

Worksite Inspection Schedule / WSH Inspection Checklist Report Due Dates

WSH regulations require each workplace to report conduct four inspections times year. To validate the inspection report checklist the worksite administrative rep and employee rep must sign the document. After the documents are signed, one copy is kept in the General Office, one posted on the WSH Bulletin Board, and one copy emailed to the division office c/o Esther Enns.
  1. First Inspection Due Date: Friday, October 11, 2013
  2. Second Inspection Due Date: Friday, December 13, 2013
  3. Third Inspection Due Date: Friday, March 7, 2014
  4. Final Inspection Due Date: Friday, May 23, 2014

Procedures for Reporting a WSH Concern
  • Once a safety concern has been identified, the principal will immediately contact the Director of Facilities - Bob Proulx, on his cell phone – 371-5358.
  • If the area is deemed unsafe or the potential for injury is probable, the principal must ensure that access to the area or use of equipment is restricted or taken out of service. Proper signage is to be posted notifying students, teachers, and visitors to the school, that the area is off limits or “red tagged” to indicate the equipment is not to be used.
  • The Director of Facilities will make all necessary arrangements to have the reported concerns addressed. The task will be assigned to the appropriate staff member who will then complete the job. An email confirmation indicated the safety concern has been addressed will be sent out once the paperwork from the job is submitted to the office.
  • As a follow-up to the phone call – principals are asked to complete a “New Regular Maintenance Request” using the regular online request form found in the Admin Binder (http://www.hsd.pointheremedia.com/). In the Regular Maintenance Request box, the first line should read as follows: “WSH phone call follow-up – date and time of call.” The rest of the message would then include the details of the request.

Dedicated WSH Bulletin Board at each Work Site

  • Each workplace will have a bulletin board dedicated to WHS or portion of.
  • Board must be marked as WHS board and have the names of the worksite representative clearly posted on the board.
  • It is the responsibility of the workplace representative to maintain the information board throughout the year.
  • Postings should include:
    • HSD WHS Program Manual
    • Minutes of the most current divisional committee meetings
    • Incident Reports along with a summary of any incident investigations
    • Workplace inspection reports
    • List of members on the committee (workplace reps and divisional members)
    • SafeWork bulletins or school related safety posters
    • Respectful Workplace Policy AE and Harassment Complaint Form & Respondent’s Response (also found on HSD website in the policy section).
